Heather Turveen
Why hello my beautiful, beautiful friend. Welcome back to another episode of the podcast. We're taking Adventure sort of off course, our normal regular programming to talk about a very hot topic currently in the world and that is AI. I'm going to be taking this episode to actually dive into how I am personally using AI. My thoughts and sort of philosophy behind AI. Is it the end of the world as we know it? No. And just some other sort of riffs on how I'm personally using AI and in and how you can effectively use AI to ultimately grow your business, become more productive in your personal life as well too, so that we can actually have all the benefits of AI without some of the negative implications of it as we start to really, really use it personally and professionally as well. And so this week is, is actually a week where the end of the week I'm taking my daughter, my 16 year old Reese. We are going on a her first sort of college tour.
C
Okay.
Heather Turveen
And so we're going to, let's see, three different states to tour on the east coast and in the South.
C
Okay.
Heather Turveen
So we're going to Baltimore, D.C. virginia, North Carolina and Tennessee. So a bunch of different areas to kind of, because we really truly, my husband and I were talking about it. There's so much of the country we haven't seen even personally and certainly that we haven't taken our daughters to see. And my oldest knows she wants to go out of state for college and so we're taking her to kind of experience this and we're leaving on a 10 day college trip because it's my daughter's spring break and as we we were starting to really sort of strategize where we were going to go to, we were able to quickly do our travel planning with the help of ChatGPT.
C
Okay.
Heather Turveen
So a year or two ago it would have taken me literally five times as long to have planned out this trip without the help of AI.
C
Okay.
Heather Turveen
And so I have been using it personally a lot more lately and I want to share it with you because there's so many opportunities where so many of my listeners, so many of you, you know, there's both men and women that listen to this podcast, but the majority of my listenership is female owned Spa Med spa Esthetic clinic, Esthetic practices. Most of you are practitioner owned. Not all, but most of you are. And many of you are parents as well too. And you have very busy, full personal lives in addition to very full, busy professional lives as well too. And so this episode I really want to dive into how I'm using AI right now for productivity. And what I kind of see is this is actually two part AI series. This episode's all about how I'm using it personally, some of how I'm using it professionally. And then the next episode I'm going to dive into what I think the future of AI will be for marketing and training and education and a bunch of other things as well too. So buckle up. I think you're going to love these episodes. So I was able to use ChatGPT to help strategize and map out our travel plans to all of these different colleges.
C
Okay.
Heather Turveen
So I was able to prompt ChatGPT to help me actually come up with the game plan, help me come up with where to stay. You know, when are the breaks in certain college tours, putting together a contact list for who to reach out to, actually strategizing out, like, because I'm flying to one place and then we're driving to some of the places that we're going to and then we're flying to again once we take off again as well too. And so looking at like, where do we stay so that we can be like as immersive as possible, it is incredible how much it saved me timing wise for this very personal travel planning that would have taken me a long time to plan out. I would not say that Bryce and I are the best travelers. I have a really good girlfriend who is like, they travel all the time. They're like professional travelers. And she is like, she could go on a 10 day trip to Japan and then be back and then 24 hours later go to like Mexico. I literally. That is an example of how she travels. And Bryce and I don't travel like that. Yes, we like to travel, we like to experience new places. But it has always felt like it takes so much Creative capital and energy to actually plan out the traveling. And so that is one thing that I've used ChatGPT for. So one thing before I dive in, I'm going to give you a bunch of different examples about how I'm using ChatGPT so that you can maybe learn how not only does ChatGPT, but some other forms of AI that I'm using it to become more productive, to manage myself sometimes, and to be able to implement and execute on things faster. So nobody really knows what the future of AI like truly is at this point.
C
Okay.
Heather Turveen
We are in the infancy of actually using it. I would say that overall, when it comes to technology, I am a tech optimist. And I also really believe that in most cases things are 50, 50, meaning there's going to be 50% benefits and there's going to be 50% negatives that come from anything. I tend to believe life is 50, 50, you know, life isn't perfect, right? We're gonna have great things that happen and we're gonna all experience really hard things as well too. And in fact, we wouldn't, we wouldn't even recognize the great things happening if we didn't have the contrast, the hard things happening, right? And so with AI, I am a tech optimist. I am very hopeful for what this is going to mean for medicine, what this is going to mean for ingenuity, for certain industries as well too. And then of course, there are going to be some. It's like social media, right? There's really wonderful things that have come out from social media. And then there's negative things. I think that, you know, we don't truly have anything historically that is similar to artificial intelligence. We really don't. The closest thing I've heard experts compare it to is when the Internet first was launched. And what's interesting is if we look back to when the Internet was first launched, I can remember it because I'm old enough, there were early adopters, right? Folks who actually dove into really doubling down on the Internet. I mean, Gary Vaynerchuk comes to mind. And then there were folks who were late adopters. And those folks, like I remember back in the day, it was like, you know, I'm a therapist. Why do I need a website right now? I tell you that now. And it's like, that is crazy. Everybody has a website now, right? But it's hard to know right now, as we are in the midst of it, how immersive I think artificial intelligence is going to be for us personally and professionally as well too. And I'm telling you right now, your competitors are going to be using it and it's really going to be how quickly it helps you do things.
C
Okay.
Heather Turveen
I think that's one of the biggest benefits that AI has. So let's dive into the real world ways that I'm using AI right now. So I'm using it for many personal life things I gave you. Like a imminent example right now is that I used it for travel planning. One of the next things that you probably, if you're not already experimenting with this many of you are because I talked to you about it, but is content creation, right? Like, I am totally diving in to having it help me be like a sous chef to my content creation. And what I'm going to talk about in a little bit as well too is how I'm not using it as well too. You do not want to abdicate your strategy and the direction of your business to ChatGPT or AI. And so I still really think I'm the visionary, I'm the leader, I'm directing the strategy with it. But it can help me ideate, it can help me, you know, grammatically put things together, it can give me feedback. It's only as good. It's like garbage in, garbage out. If you give ChatGPT a bunch of garbage, it's just gonna give you garbage back. And when it comes to content creation, I can almost tell immediately online right now, on social media or even reading certain articles and stuff, I can tell when it has that ChatGPT flavor, if you will like that. This was created by ChatGPT and I think most of us are becoming more savvy to that. And so the next episode I'm going to be talking about custom developed GPTs and how I'm using them in my company and how I think it's going to change how we not only market and content create, but also in the training and coaching and online business industries as well too. But there are ways to, to do custom GBTS and to use ChatGPT to really create content that can be very, very powerful and to help you create a lot more content quicker. It also helps you get unstuck from coming up with ideas. It can help you not have to look at a blank page, if you will, to get your wheels turning. And then the best kind of output you get is when you become really strategic with it and you can actually riff back and forth with it. So we're using it heavily right now in the back end of our like, business administratively. So for example, I am, I have the team chat DBT so that I can share it with Karen and other members of my team, right? And then we have custom chat DBT threads.
C
Okay.
Heather Turveen
So these are basic, where we've put in information to the gbt, if you will. And so like for email responses like customer support inquiries and stuff, so that we have specific threads for specific types of actions. As an example, responding to customer support inquiries. So it helps us be able to respond to people faster and to actually be able to like, if you have somebody who's helping you with something that you have felt that you couldn't get a team member to do effectively, you could consider getting the team version of ChatGPT where you could share a dashboard with your team members so that you could have different chat threads going as well too. And when I've done this with my team, another kind of handy tip is that you can actually copy the link to the thread for a certain chat thread. So for example, I can share that chat thread with them so that they can see my approach to how I'm getting a certain output with it. Okay, so if I had a really complicated question come in, meaning somebody like, let's say a customer support question where they've given me like their life story and you know, it's a very layered response that they're looking for from us, we can actually drop that into ChatGPT and I have a couple different email frameworks and you know, we can work through. I, I do it initially and then I actually save how I went back and forth. Share that chat GBT thread with like Karen or somebody on my team so that I can actually coach them how to use ChatGPT to help with respons. A huge thing that has changed the output that I get with ChatGPT is voice riffing with ChatGPT with her is. And I think this is the secret sometimes into not getting the chat GBT sort of flavor, if you will, in the outputs that you get is voice noting with her. So talking like on walks in the morning, when I'm walking Rosie in the morning, I'm walking Rosie in the evening, I will brain dump like my ideas, okay? I will brain dump like when I'm putting together trainings for whether it's MSA or a new program, marketing ideas that I have a new marketing strategy. I will say, hey, like I have this idea, ask me questions to help me actually put together this strategy.
C
Okay?
Heather Turveen
And I will drop in. Now I already have some custom gbt, so it already has some of my stuff built in. But like I will have, let's say they'll have all the context of like signature menu set cells, let's say. So let's say they already have the context of one of your signature offers. And you know, we talked recently about hosting in person events and if you want to come up with ideas for and a strategy and actually a game plan for them, you could riff back and forth. And this is what I tell my MSA clients. We give them all the templates and game plans, if you will, for their in person events. And I'm like, if you need help with it, drop those docs. Because inside of ChatGPT you can have access to Google Drive. You can actually upload certain docs if and attach and be like, hey, I'm doing, I'm using this promotional launch plan for an in person event. I'm going to attach the document, help me plan it out.
C
Right?
Heather Turveen
And then voice riffing with her back and forth. That makes it so much faster as well too. So fact checking and research. I will use ChatGPT to do fact checking research, helping me come up with metaphors and analogies. Right? You know how big and bullish I am with your marketing content, with your frameworks and your unique philosophies, with your consults actually weaving metaphors and analogies. Having ChatGPT help you come up with metaphors and analogies that are going to help drive home, whether it's you're putting together social video or you're helping your team use the CARES process. And the E of the CARES process is explain and you want to use metaphors and analogies. ChatGPT is great at giving you ideas for stories and metaphors analogies, pulling research if you will. So I already knew, for example how research back our consult process was, but I had chatgpt like actually help me. Are there any other psychology and communication peer reviewed research studies that help back up even beyond these ones and communication frameworks? And it was like it gave me like a really long reference and bibliography of the social science behind one of my frameworks which was super helpful. So what is a I not when should you not use it? You do not want to outsource your strategy or leadership.
C
Okay.
Heather Turveen
It is very much going to reflect back to you. That's why I said garbage in, garbage out. If you're giving it a bad strategy, it's going to just help you implement the bad strategy. Right? It'll help you implement it faster. But it's still not a great strategy. You still need to be the captain of the ship and know and have a vision and set a course, if you will. And ChatGPT is like going to help the ship actually get there faster, but it's not. It could take you to Antarctica when you're trying to go to Europe. So you still got to know, am I going to Antarctica or Europe and not abdicate that to ChatGPT. So you do not want to let AI set the direction and whatever you're using it for. You want to understand strategically, like what you want the outcome to be like so that you can recognize when it's not giving you great outputs. And I think this is the problem with a lot of folks who are currently using ChatGPT and maybe they've bought some prompts and what have you to do, use it for like social media creation. And you know, we're seeing a lot of redundancy in the social media captions and outputs. And I think it's because, you know, a lot of folks are using ChatGPT and not using it very effectively and not understanding what bad content even looks like. So they don't aren't able to recognize that ChatGPT will still give you bad content. It'll just give it to you faster as well too. So it was about. How long was it? It was about a year and a half ago. I was looking for a new CRM.
C
Okay.
Heather Turveen
And there was this big. I was working with an ads consultant and she had a new. She'd brought this, you know, really big guru, marketing guru. You know who it was probably if I said his name, who just basically come out with his own go high level white labeled, blah, blah, blah. You guys all know the story about go high level and white labeled offers. Many of the med spot agencies that do customer acquisition and help you with marketing funnels are using some private labeled go high level, which is totally fine. The, the bones of go high level are great. But he had his own, you know, private labeled go high level that was very. The pitch was about the AI part of it, okay? And I could tell and that they were going to custom create some of the copy for me and all these big promises and what have you. And I quickly realized after I had hired them, which was fine, I, you know, invested, you know, a significant, you know, thousands of dollars with them. And then I quickly realized that the copy was chat GBT ish and that the AI from like a lead management perspective was not there yet. Now, I could almost tell you right now that if I was to sign up with Them again now I bet you it's already better than it was a year and a half ago. So there are some big promises I see out in the space right now where you know it's not going to replace an entire human. I love, love, love, love automations and you know, we've talked about, I use many chat and I love email sequences and I am very bullish on you having automated funnels, but I like a hybrid approach. Like you still need humans in many cases that first of all I think that AI, there's going to be this. If there's. The more, the more AI becomes prevalent, the more in person and face to face communication is going to be more valued. So it's not replacing human touch. Most of us are going to want even more human touch in certain scenarios and to use AI for certain scenarios and it's not going to replace it entirely. Will there be certain industries that are totally disrupted by AI? 100%. But you still, even with like you look at content creation or graphic design or you know, editing, these are the industries that I think right now we're in the midst of a lot of disruption, but they're still just creating new roles. They're not like. So the folks that decide we're going to use AI with what we're currently doing, those folks are going to win. And so for you in the esthetics industry, we're not going to worry about you guys. We're still going to need humans to actually deliver esthetic treatments. So you don't even have to worry about your, your main product, if you will. But for those of you, if you decide to double down on AI in many ways, my thought process about this is I want to use AI as much as I can so that I can be more present in the moments. Like I don't want to waste hours of my life travel planning when I could have more face to face, really intimate experiences with Bryce and my daughters. Right? And that's how I think about it with business. I want to use AI as much as I can so that I can have even more time to roll up my sleeves and have personal relationships with my, my high proximity clients in MSA or private clients or what have you. Like, I want more time for the impact and the connection with real humans. And so I think of AI as helping me have even more connection in that way as well too. And I think if you can think about it that way, that will serve you as well. Well, that's what I have for you this week. Be sure to tune in next week, we're going to dive into some even more advanced ways to be using AI for your business, for your offers, for your marketing, and for sales training for your team as well too. That's what I have for you this week. I will see you next week my friend.

Med Spa CEO Podcast Summary
Episode Title: Use AI to Dramatically Increase Productivity and Go From Overwhelmed to Optimized
Host: Heather Terveen
Release Date: April 30, 2025
In this episode of the Med Spa CEO Podcast, host Heather Terveen delves into the transformative role of Artificial Intelligence (AI) in both personal and professional spheres. Departing from the usual focus on med spa growth strategies, Heather explores how AI can enhance productivity, streamline operations, and foster deeper human connections.
Heather begins by sharing her personal philosophy on AI, emphasizing that it serves as a tool to increase human interaction rather than replace it.
Heather believes that those who effectively integrate AI into their workflows will outperform their competitors, leveraging technology to free up time for more meaningful engagements.
Heather recounts a recent personal experience where AI significantly aided in planning a college tour trip with her daughter. Utilizing ChatGPT, she was able to efficiently map out travel itineraries across multiple states, saving substantial time and effort.
This example underscores AI's capability to handle complex planning tasks, allowing individuals to focus on personal relationships and experiences.
Heather transitions to discuss how AI, particularly ChatGPT, is instrumental in her business operations. Key areas where AI enhances productivity include:
Content Creation:
AI acts as a "sous chef," assisting in ideation, drafting, and refining content without relinquishing strategic control.
Team Collaboration:
Custom ChatGPT threads are utilized for specific tasks like customer support, enabling consistent and efficient responses across the team.
Voice Riffing:
Heather employs voice-noting sessions with ChatGPT, allowing her to brainstorm and develop ideas organically.
Fact-Checking and Research:
AI assists in validating information and generating metaphors and analogies to enhance communication and training materials.
While Heather is a tech optimist, she acknowledges the dual nature of AI, recognizing both its potential benefits and drawbacks.
Benefits:
Cautions:
Strategic Oversight: AI should not replace human strategy and leadership. Heather stresses the importance of maintaining control over business direction.
Quality Control: The output quality is contingent on the input quality. Poorly framed prompts yield subpar results.
Human Touch: Despite AI advancements, Heather emphasizes the irreplaceable value of face-to-face interactions in maintaining client relationships and delivering personalized services.
Heather anticipates that AI will continue to evolve and integrate deeper into various aspects of business, particularly in marketing, training, and education. She plans to explore custom-developed GPTs in the next episode, highlighting their potential to revolutionize content creation and operational efficiency further.
Heather underscores that AI will not replace essential functions in the esthetics industry, such as delivering treatments, but will augment the business side, enabling owners to focus more on client relationships and service quality.
Heather Terveen's exploration of AI in this episode offers invaluable insights for med spa and aesthetic practice owners. By thoughtfully integrating AI tools like ChatGPT, practitioners can significantly boost productivity, enhance content creation, and strengthen client relationships. However, Heather rightly cautions against over-reliance on AI, emphasizing the necessity of human oversight and strategic leadership to harness AI's full potential without compromising the personal touch that defines successful med spas.
Stay tuned for the next episode, where Heather will delve deeper into advanced AI applications, including custom GPTs and their impact on marketing and team training.
