I'm your host, Michael Reynolds and today I'm going to talk about how AI dictation levels up my productivity as a financial advisor. For some of you, this may be old news. I know a lot of you out there are using AI dictation tools and probably enjoying a lot of productivity gains as a result. But I know that some aren't, some advisors aren't using this tool yet or tools like it. I actually talked with an advisor recently for a consultation and introduced him to AI dictation. He was like, wow, this is amazing. I'm like blown away with how much more productive I've already become. So I want to share it with you and just talk you through how I use dictation tools to improve my productivity in so many areas of my financial advisory firm. First, let me say this. There are different tools to do this and I also want to just acknowledge that dictation has been around for a while. I even back in, when I was much younger there were things like Dragon dictation and tools that did this already. And so dictation stuff has been around for a while. Dictation software is not a new thing, but there are a lot of improvements now in how it's executed. For one thing, it's much more integrated into everything we do. We can dictate in pretty much any context, whether it's computer, phone, whatever. So it's much more accessible to just click a button and do it. And two, it has gotten much more high quality with the introduction of AI into the. The implementation of these tools. So it used to be that you would dictate and it would just grab exactly what you said. And if you stumbled over your words, it was clunky. Nowadays you can say things in any kind of jumbled fashion. You can trip over your words and go back and correct things and stumble over things and say it in kind of a haphazard way. And the AI dictation tool will capture what you said and format it in a nice clean way that. So the output is professional and clean. So the tools have come a long way and they're at the point where it's just. I think it's. I couldn't imagine not using these tools. So I'm going to share just how I use it and the ways it improves my productivity. First of all, as far as what tool to use, there are quite a few out there. I use one called Whisper Flow W, I S P R. If you just Google Whisper Flow, you'll find it. There's versions for Mac and Windows and phones and everything. So that's the one that I found works best for me. It seems to be the smoothest. There are other tools out there like Super Whisperer and MacWhisperer and different types of things. There's a few different things you can try, but the one I use called Whisper Flow, it's pretty popular. It's around $10 a month. So it's pretty, pretty affordable. So how do I use this every day as a financial advisor, for one thing. Writing emails, Just dictating emails. I don't know about you, but I'm not the fastest typist. In fact, I'm pretty terrible. I never really learned the proper way of putting my hands on the keyboard in the right position and typing correctly. I just never learned that. It just, It's a skill I wish I had. Every now and then I try to go back and learn. I just can't get the knack of it. So I'm just. I'm not a good typist. I don't type the correct way. I type slowly. I make lots of mistakes. I hate typing. So that's extreme. A lot of you out there are probably excellent typists and you have no problem cranking out words quickly. Maybe there's some of you in the middle who are like, yeah, typing is fine, but I don't love it and I'm not fast. So unless you're like the perfect typist that can knock things out quickly, I think you'll probably get some benefit from this. So again, I'm a terrible typist. I hate typing. Every time I have to write an email to a client, I just dread it because I know I'm going to have to type stuff out and correct it and go slowly. I just hate it. So whisper Flow or whatever tool you use, dictation has really upped my game and made it the fraction of the time I spend now on on emails as opposed to what I used to spend. So what I do now is I open up an email, put the client information in there and then I just speak what I want to say. And what used to take me five minutes to put together now takes me 30 seconds. And I enjoy it. It's much more enjoyable. I love just popping open an email and then speaking my thoughts and boom, the email's done and I can just make a few tweaks and send it off. Think of how many emails you probably send every day week. If I do the math on that. And every email interaction is 10% of what it used to be in terms of time spent, I'm saving a ton of time. I'm literally saving hours every week doing this. So that's how I use it as a big use case is writing emails, forming messages. That has really been helpful. I cannot stress again how much time it has saved me and how much less mental load and friction there is. I no longer dread putting together notes and forming emails to do follow up stuff. It's just easy, it's simple, it's frictionless and I can move on with my day. It's fantastic. Next, another way I used AI dictation is working with AI. So I use AI dictation to talk to AI tools. So a great example for this is I use Hazel right now for note taking as well as tax analysis and even forming documents and putting together reports. So I love being able to open up Hazel and just say, hey, please create, generate a report for me with these things in it and look up this stuff and make a two page PDF and I just speak the instructions and then off it goes. So again, I'm not trying to type up a prompt, I'm just speaking what I want as if I'm Speaking to an assistant and the AI tool runs with it because it's clearly formed, it's quick and easy. I might talk to Gemini about something I'm looking up. I might talk to Claude about something. I build apps with Claude and so this is a great way to make the working session with Claude really productive and enjoyable. I just speak my prompts. I can make prompts really long and detailed because I'm just kind of spilling my thoughts out using Whisper Flow. So I'll just speak the prompt and then pops in there, hit return, and off it goes. So I can iterate and build apps and software very quickly using AI tools because I can dictate through Whisper Flow. Same thing with reports. I often use Claude to build reports as well. So again, great way to create client deliverables really quickly using dictation to dictate to AI tools. Another use case, writing content for marketing, blogging, social media captions, social media posts, all this stuff. It gets much easier when you dictate it. Again, maybe you're an amazing typist, if so, that's great, but a lot of us like me are not. And sitting down to write an article or to create a social media post or a LinkedIn post or something, it gets really clunky when I have to type everything out. But if I can just kind of brain dump my thoughts verbally and put together a reasonable article or social media post based on just like I'm speaking to somebody, naturally, it's really easy. It gets much easier to create marketing content using dictation. So I use it a lot for writing articles and especially social media posts comes in really handy for that stuff. So I want to share some cool features of at least the tool I use called Whisper Flow. Again, I think every tool has this feature. It will start to learn your terminology and jargon. And so if there's names, if there's names of companies, if there's acronyms, it's pretty easy to get the tool to learn these things because if I'm. If I speak the output and then it's in the document or the email or whatever, and then I go correct it, the tool integrates with whatever I'm using and it learns from that. It says, okay, I'm adding this word to my dictionary. And so next time I say in theory will get it correct and spell it and format it correctly. So the AI component of these tools is really nice because it learns and it gets much more accurate over time. So that's a nice feature of the tool as well. As far as how it's implemented, it's really frictionless on my keyboard. I just hold down the FN key, which is the function key, and once I'm holding it down is listening. I speak, I let go of the key when I'm done and Whisper Flow just pops the text into whatever window I was in. So it's really seamless, really easy. I can just tap, hold, dictate, let go. It's done. So the implementation is typically really smooth and again makes it really frictionless just to generate text based output on the fly really quickly. So that's how I use the tool. Again, really simple, really basic. Conceptually it's not that earth shattering, but I still know a lot of advisors who are not using voice dictation tools like this and they're still typing everything and maybe it's going fine, but once I started using this I could never go back. It's just amazing how much happier I am throughout my week just being able to generate text based content by speaking. So that's my tip for this week. I wanted to share that with you because if you're not using a tool like Whisper Flow or whatever the alternatives are, if you're not using it, give it a try.
