Candy Valentino
Hey, guys, welcome back to another episode of the show. I'm Candy Valentino. Thanks for tuning in for today's five minutes of Motivation where we strip away all the fluff and give you straight, actionable strategies in a really short period of time so that you can level up in life and business. And today's topic I think everyone struggles with how do you get more done? How do you get more done in less time? And how can you do it without burning out? And, and I think the topic of productivity, everyone thinks it's all about working harder. And there are times in life and.
Unknown Speaker
Business, depending on what season that you're.
Candy Valentino
In, you are going to work a little harder, a little more. But the reality is typically it's about working smarter. It's about having laser focus on what actually matters and will move the needle.
Unknown Speaker
In whatever it is that you're looking to accomplish.
Candy Valentino
And so I wanna break down three powerful strategies that will skyrocket your productivity and help you avoid burnout. How do we do that? Well, let's break it down. Step one, we have to focus on high impact work. We know that not all tasks are created equal and many of us are very familiar with Pareto's principle that 80% of our results are going to come from 20% of our efforts. The problem is most people don't know what's a high value task as opposed to a low value task. So most people waste a large portion of their day on low value tasks instead of being laser focused on the high impact actions. And how do you do that? Sometimes all things seem to be important.
Unknown Speaker
But not everything is important and urgent. Not everything is actually going to move.
Candy Valentino
The needle in what it is that.
Unknown Speaker
You'Re looking to accomplish most.
Candy Valentino
So a great question to ask yourself.
Unknown Speaker
Is what is the one thing when you look at your list of to.
Candy Valentino
DOS or all of the meetings that.
Unknown Speaker
You have, what is the one thing that will move the needle the most in what it is that you're looking to accomplish?
Candy Valentino
In My book, the 9% Edge Planner, which is an implementation guide to the 9% edge, it's an action guide. I actually take you through every single day. What are the three non negotiables? Obviously we have lists of things that we're trying to pile in, but what are the three non negotiables or what's.
Unknown Speaker
The one thing of the three that will move the needle the most.
Candy Valentino
Now, this isn't saying that not each.
Unknown Speaker
One of these things will move the needle.
Candy Valentino
We're trying to identify the one thing.
Unknown Speaker
That will do the most, because we.
Candy Valentino
Know 80% of those results are coming from 20% of the effort. And the next question to ask is.
Unknown Speaker
What'S the task that, if completed today.
Candy Valentino
Can make everything else easier or make other things unnecessary? Asking yourself those questions will give you so much clarity as to what a low value task is compared to the high impact actions of the day. And of course, you always want to start your day by doing the hardest, most important task first before you jump into emails or messages or especially social media. Eating the frog, which is a phrase that has been around forever, is getting the tough stuff done early so that.
Unknown Speaker
The rest of the day flows.
Candy Valentino
Which brings us into step two. Two. Time block. Oh, guys. Time blocking is one way that you can protect your focus and start to stack the odds of success in your favor. Because multitasking is a lie. Many of us that were in business in the 90s and early 2000s were told over and over again that multitasking was some invaluable skill that people had or they didn't have. But really, what we learned later through data is every single time you switch tasks, you lose focus, energy, and efficiency. And there are studies that show you.
Unknown Speaker
Lose about 17 minutes, that it takes.
Candy Valentino
The brain roughly, on average, 17 minutes to fully focus on a task. And so that every time you're switching back and forth, whether it's a different part of your brain, you're going analytical and then you're trying to jump into creativity, you are exhausting your focus. The way that you can combat this is by time blocking.
Unknown Speaker
Blocking out 90 minute sessions of deep.
Candy Valentino
Work to go all in on one thing and batching, like work together. For example. I'm recording podcasts today, just like this one. I am not going to jump into analysis of P Ls for a client or my own in the middle of trying to record content. It's two totally different aspects of my brain. Just like I will not teach on a podcast and then be interviewed on a podcast. It exhausts me because being interviewed, talking to the audience through an interviewer, is a totally different conversation than talking to you inside of this podcast. So I batch everything together and I create specific days for specific tasks so that I can shut out all the distractions. So, number one, 90 minutes of deep work sessions, making sure that you're focusing on the tough stuff early, that you're focused on the high impact actions. Number two, shut off all the distractions. My phone is always notifications off, phone on silent, upside down. Now it becomes a problem when I lose my phone throughout the day because there's no way for it to make a sound or for somebody to call it but, but shutting off all the distraction. And for those parents out there, that.
Unknown Speaker
That might make you a little nervous.
Candy Valentino
Because you have kids that are in school or throughout the day doing things. You can set this up so that.
Unknown Speaker
A specific number can get through should they need to.
Candy Valentino
So shut off your phone, shut off the notifications on your devices and just work on one thing. When you block out these 90 minutes of deep work sessions, it's amazing what you can accomplish. And last but not least, step three, energy management. So often we are focused on time management and productivity hacks, but we need to also focus on managing our energy. Most people schedule out their time, but they don't schedule out their energy. And here's the truth. Your productivity isn't always about how many hours you work or tasks that you complete. It's about how much energy you bring to those hours. So how do you maximize your energy? Well, first working in those 90 minute sessions, full focus for a sprint and then take a break, step, stand up, stretch, go for a little walk, grab a glass of water, get sunlight on your skin if you can. All of those things are going to help you maintain that energy and focus. And this might sound like a simple.
Unknown Speaker
One, but making sure that you're eating.
Candy Valentino
For energy, not loading up on sugar or simple carbs, making sure that you're having balanced meals, proteins and healthy fats so that you're not spiking your sugar levels and then crashing, not having enough.
Unknown Speaker
Energy to finish your day.
Candy Valentino
And then of course, making sure that you're getting enough sleep, optimizing your recovery. And I think these are all common sense approaches that we know we should take, but unfortunately they're not commonly practiced. So make sure that you focus on that energy management. Batch similar tasks together. Don't jump from writing a email to preparing for a meeting. Make sure that it's similar activities are coming into one of those 90 minute sprint blocks. This will reduce your mental fatigue and.
Unknown Speaker
Boost your overall efficiency.
Candy Valentino
Because productivity is not about doing more. It's about doing the right things the right way at the right time. So your challenge for today, pick one high impact action time. Block it. Remove distractions, protect that energy. If you do this one thing, you will get more done in a day than most people get done in a week. The Candy Valentino Show
Hosted by: Candy Valentino
Release Date: March 21, 2025
In this episode of The Candy Valentino Show, host Candy Valentino delves into the critical topic of productivity. Aimed at founders, investors, and entrepreneurs, the discussion centers on actionable strategies to accomplish more in less time without succumbing to burnout. Candy leverages her extensive 25-year experience to provide listeners with practical advice to enhance both personal and professional productivity.
Candy emphasizes the importance of prioritizing tasks that significantly contribute to your goals. She references Pareto's Principle, which suggests that 80% of results come from 20% of efforts. However, she notes that many individuals fail to identify which tasks fall into this high-impact category, leading to wasted time on less important activities.
Candy Valentino [01:19]: “It's about having laser focus on what actually matters and will move the needle.”
To address this, Candy recommends evaluating your to-do list by asking:
These questions help distinguish between high-value and low-value tasks, ensuring that your efforts are directed toward actions that deliver the most significant outcomes.
Moving beyond task prioritization, Candy introduces time blocking as a method to enhance focus and efficiency. She challenges the conventional notion of multitasking, highlighting research that demonstrates how task-switching can reduce focus and drain energy.
Candy Valentino [04:20]: “Multitasking is a lie. Every single time you switch tasks, you lose focus, energy, and efficiency.”
Instead, Candy advocates for dedicating uninterrupted blocks of time—typically 90-minute sessions—to work deeply on a single task. This approach, often referred to as "eating the frog," involves tackling the most challenging and important tasks first thing in the day before attending to emails, messages, or social media.
Candy Valentino [03:42]: “Eating the frog is getting the tough stuff done early so that the rest of the day flows.”
Additionally, she underscores the importance of batching similar tasks together to maintain a steady workflow and reduce mental fatigue. For instance, she ensures that podcast recording days are separated from financial analysis days to keep different parts of her brain engaged without overlap.
Candy stresses that productivity isn't solely about managing time but also about managing energy. She points out that while many people meticulously schedule their tasks, they often neglect to consider their energy levels throughout the day.
Candy Valentino [06:33]: “Your productivity isn't always about how many hours you work or tasks that you complete. It's about how much energy you bring to those hours.”
To maximize energy, Candy advises:
Candy wraps up the episode by reiterating that true productivity is about doing the right things the right way at the right time. She challenges listeners to implement the strategies discussed:
Candy Valentino [08:02]: “Pick one high impact action time. Block it. Remove distractions, protect that energy. If you do this one thing, you will get more done in a day than most people get done in a week.”
By focusing on high-impact tasks, time blocking, and energy management, listeners can significantly enhance their productivity and achieve greater success in their personal and professional lives.
