Now. I am really excited. I want to take you back. Okay, I want to set the scene for you. Now let me take you back. This was the third event in this series of events that I have been doing. The first one was I had a go for 100 people. It was probably like maybe 30 people. The second one was two days and this year I decided to simplify. One day, 50 people max. Or so I thought. Now the plan was I wanted this event to be intimate but impactful. I planned for 50 people because I thought that was the sweet spot for connection and engagement. I had a really good venue. I've been using this venue for the last two years. A lineup of amazing speakers and yes, a plan also to sell from the stage. So my goal was really clear. I wanted to not only create an incredible experience for my attendees, but also convert attendees into my programs and services. So here's the first thing that most people won't tell you about hosting events. You should oversell. Yep, I said it. I plan for 50. But I sold 60 tickets. Why? Because the reality is life happens. People drop out last minute. No shows are real and if you don't plan for it, you have empty seats. And trust me, empty seat is not the vibe that you want for your event, my friend. So fast forward to the event today. So we oversold and guess what? Nearly every single person there showed up. I'm talking about standing room only. It was packed, buzzing and full of energy. And I want to share with you how I made it happen and how we kept it running smoothly despite the unexpected turnout. Number one is that the show up rate is crazy. Crazy show off rate strategy. Let me share with you what worked to get almost everyone into the room. I was very strategic. I sent email reminders leading up into the event. Five plus emails including one right before in the morning of the event with clear directions and a really great message for the day. I also made sure that I stayed in connection with the attendees. I built excitement and encouraged them to be be accountable. People didn't just feel like ticket holders, they felt like a part of a community, which is what I always want. I oversold and as I mentioned, I accounted for the no shows. And this move actually paid off big, big time. When I realized how full the room was, I my first thought was like, wow, this is amazing. Like, people kept coming in. My husband had to get more seats and more chairs. My second thought was, wow, how am I gonna fit everybody? So luckily my husband was able to get some more chairs. The energy in the room made up for any, you know, people who had. We had to get chairs for. It was very electric and it's exactly the kind of vibe that makes an event unforgettable. And I sell from the stage. Now, selling from the stage can feel intimidating if you are not prepared. But here is what worked for me really, really well. Okay, first, my event delivered massive value. I mean, it was super valuable. My audience came to learn, they came to connect, they came to grow. And I made sure that each person at this event walked away with actionable strategies that they could use immediately. Not tomorrow, immediately. Second, I wove my offer naturally into the conversation. It wasn't a super hard sale. I shared some testimonials, some clients that I have that were there share some testimonial as well and that show how my programs could really help them continue the transformation they already started at the event. Third, I did have some urgency and exclusivity sealed into the deal. I offered an exclusive bonus that was only available to the attendees who signed up during the event. The result, A rush back to the room. And some spots were absolutely field on the spot, which was really cool and really I was really excited about that. Now let's talk about what went into making this event a success. Because while it looks seamless on the outside, there are some real behind the scenes moments that made it all come together. I think the first thing was I simplified my format this year. I kept it simple. Instead of 12 days, I had one day. Why? Because simplicity is powerful. Attendees appreciate that we packed a punch in one day without feeling rushed or overwhelmed. I also managed the unexpected. When you have standing room only need to get more chairs. I was prepared to pivot. You know, we worked it out where we were able to get more chairs and adjusted a few things and it was amazing. And so everything went well. The power of a team. Let me be real. This wouldn't have happened without my team. My amazing husband, my amazing volunteers, my daughter, my 10 year old daughter was checking, checking people in. Oh my goodness. It was just amazing. Shout out to my family for really always coming through for me because the family is the team. Okay. We had some tech issues. Shout out to the hotel. Because I told that man, he was like, oh my goodness, the tech, the, the, you know, the screen is working. I told him, you don't believe in my God. It, it's gonna work. And it really did work. Right before the event, everything ended up turning on and working perfectly. This is why I have faith, y'all. I really prayed at that moment and said, God wants me to do this event. He's not going to let me down. And amazingly, you know, everything went well. The tech came on and it was great. So super amazing. Okay, so if you're thinking about hosting your own event, whether it's your first or your fifth, here are the lessons that I want you to walk away with from today's episode. Number one. Oversell. Strategically plan for no shows, but prepare for a full house. Overselling ensures that you'll have the energy and impact that you're aiming for. Number two, Create an irresistible experience. From the moment attendees sign up, build excitement. Make them feel like they're a part of something special before they even walk through the door. Number three, deliver value first, sales second. When you provide massive value upfront, selling feels natural and it doesn't feel pushy. People want to invest in the transformation that you're offering. Number four, stay flexible. Things will not always go as planned, my friend, but a great host adapts. Standing room only could have been chaotic, but we made the best of the experience. Now, selling out a 50 person event, having standing room only and converting attendees into clients is possible when you combine strategy, value and heart. Period. Okay. Whether it's a webinar, a workshop or an in person event, I believe that the same principles apply. So if you're ready to start your own event and you want guidance on how to make it a success, friend, reach out. I am ready to help you create an impactful event that connects converts and leaves lasting impressions. Okay, let's talk about it. Seriously. You can DM me on Instagram at Michelle L. Social Media Decoded: Episode Summary
Episode Title: Standing Room Only: How I Sold Out My 50-Person Event (and What Most People Won’t Tell You About Event Success)
Host: Michelle Thames
Release Date: December 25, 2024
In this compelling episode of Social Media Decoded, host Michelle Thames shares her groundbreaking experience of selling out a 50-person in-person event, turning it into a standing-room-only gathering. Drawing from her extensive background as a social media strategist and influencer, Michelle delves deep into the strategies and insights that led to this remarkable success, offering listeners actionable advice to replicate her achievements in their own ventures.
[03:11] Michelle begins by recounting her journey with hosting events. This particular event was the third in her series, following a modest turnout of approximately 30 out of 100 tickets sold in the first event, and a slightly better 50-person attendance in the second. Determined to enhance both intimacy and impact, Michelle aimed for a venue accommodating 50 attendees, curating a lineup of exceptional speakers and strategizing to convert participants into clients.
“This wasn’t a fluke. I’ve been hosting events both online and in person for years, but this past event taught me some lessons most people won’t tell you about.” – Michelle Thames [03:11]
[05:45] One of Michelle's standout strategies was the intentional overselling of tickets. Planning to sell 60 tickets for a 50-person event accounted for potential no-shows, ensuring a full house. This approach not only maximized attendance but also maintained the vibrant energy essential for a memorable event.
“Overselling ensures that you'll have the energy and impact that you're aiming for.” – Michelle Thames [09:20]
Michelle emphasizes the importance of maintaining high engagement from ticket purchase to the event day. She employed a robust email reminder system, sending over five emails leading up to the event, including a crucial reminder on the morning of the event. This consistent communication built excitement and fostered a sense of community among attendees.
“People didn’t just feel like ticket holders; they felt like a part of a community.” – Michelle Thames [07:15]
From selecting a comfortable venue to featuring a lineup of influential speakers, Michelle meticulously crafted an environment that promised value and connection. Her goal was to ensure that every attendee walked away with actionable strategies they could implement immediately.
“Each person at this event walked away with actionable strategies that they could use immediately.” – Michelle Thames [09:50]
Selling from the stage was a critical component of Michelle’s strategy. She prioritized delivering massive value first, which made the subsequent sales pitch feel natural and non-pushy. By sharing client testimonials and offering exclusive bonuses for event attendees, she created a compelling case for participants to invest in her programs.
“Selling from the stage can feel intimidating if you are not prepared, but here is what worked for me really, really well.” – Michelle Thames [10:30]
Learning from past experiences, Michelle opted for a single-day event instead of a multi-day format. This decision reduced complexity and prevented attendees from feeling rushed or overwhelmed, enhancing their overall experience.
“Simplicity is powerful. Attendees appreciate that we packed a punch in one day without feeling rushed or overwhelmed.” – Michelle Thames [11:25]
When the event sold out, Michelle remained calm and adaptable. With the help of her husband and volunteers, she quickly arranged for additional seating, maintaining the event's momentum and positive atmosphere despite the initial plan for only 50 attendees.
“Standing room only could have been chaotic, but we made the best of the experience.” – Michelle Thames [12:40]
Michelle attributes much of her success to her dedicated team, including her husband and a group of volunteers. Their ability to handle last-minute adjustments and technical issues ensured that the event proceeded smoothly.
“This wouldn’t have happened without my team. My amazing husband, my amazing volunteers, my daughter…” – Michelle Thames [11:50]
Encountering technical glitches before the event, Michelle relied on her faith and perseverance to overcome challenges. Her unwavering belief in the event's purpose helped her navigate and resolve issues effectively.
“I really prayed at that moment and said, God wants me to do this event. He's not going to let me down.” – Michelle Thames [12:10]
Michelle distills her experience into four key takeaways for listeners looking to host successful events:
“Selling out a 50-person event, having standing room only and converting attendees into clients is possible when you combine strategy, value, and heart.” – Michelle Thames [12:55]
