If you're a real estate agent with an active listing account, you've probably felt that not in your stomach or maybe in your throat. When a seller calls you and you don't have great news, maybe showing slowed down, maybe the feedback hasn't been what you had hoped. Maybe you've been so busy with other things that you haven't talked to them in two or three weeks and deep down you know you should have communicated more. In fact, it's your duty. You know that silence is what kills trust. You just haven't had a system to make it easy. So why does this keep happening? Well, it's not because you don't care. I know you care. I see you care so much it's because you've been winging it, waiting until you have something good to say, hoping the next wing, hoping the next week brings better news so you have a a great reason to call. Most agents think the problem is that they don't have enough activity to report. But the real issue? You're missing a structure that makes every update feel valuable, even when the news isn't so great. And if you're honest with yourself, there's a fear underneath it that you're trying to push down. That fear that if you call without good news, the seller going to get frustrated or worse, start thinking about switching agents. That fear is normal. It shows up when you don't have a system that proves you're working. When all you have is no offers yet and nothing else to show for the week, it becomes a problem. I know this because I've been in that exact same spot. I used to dread those calls. I push them off. I'd wait for a showing or some piece of good news before reaching out. And the longer I waited, the worse it got. Everything changed when I built a weekly seller update system. A checklist I fill out every week. A message template I send every time. It's a simple flow that keeps me accountable and keeps my sellers in the loop. Instead of avoiding the hard conversations, this system gives me something valuable to share every single week, whether the home is flying or sitting. Here's how it works. First, the checklist. Every week, I put together some things. Market snapshot. Days on market for similar homes. New competing listings. Price reductions nearby. Anything happening with rates or news that affects the buyers. Activity recap. Showings. Open house visitors. Online Views, saves and favorites. Calls and texts from buyers or agents. Feedback summary. What buyers liked or what they didn't. Common themes. Objections I can actually fix, like conditions, smell, clutter or lighting. Marketing. I ran photos, refreshed videos, recorded social posts, paid ads, email blasts, postcards, neighbor calls, open houses. Everything I did that week checked off and finally changes for next week. At least one marketing change, at least one exposure change. And if needed, a price or terms conversation. That checklist takes 10 minutes to fill out, and it gives me everything I need for the call. Second, the message template. After I call the seller, I send a written recap. There's a clear record that's important. It covers some more things. Market check activity in the last seven days. Feedback from buyers. Marketing. I ran this week what I'm doing next week and if needed, a strategy conversation about price or terms. The seller never has to wonder what's happening. You see, that's the key. They see it in writing every week. Third, the weekly flow. Pick a day. Every week. On that day, I pull my numbers, fill in my checklist, decide one new action, call the seller and send the written recap. That's it. Same day, same rhythm, every week until the home sells. I had proof I was working and they knew it. And when it came time to have that price reduction talk, it wasn't a fight. It was natural. In fact, it was the natural next step because they've seen the data, they know what's going on every week. But the bigger win wasn't just keeping listings. It was becoming the kind of agent who never hides from a seller who shows up every week with a plan, not an excuse, or not at all.
