I'm a believer wife, mama to two and Oklahoma family photographer. I left the classroom in 2018 to pursue my photography career full time. Now I'm here to help you do the same. In this podcast we're covering the most asked about topics including pricing, marketing, client experience, and all things systems and workflows. You won't find any fluff or BS here. Just tried and true strategy. Are you ready? Grab your kids some snacks and charge those camera batteries. It's time to jump in. What if I told you that I can save you hours in your photography business? If your ears are perked up, then this is the episode for you because I want to walk through five things you can batch in your photography business that results in you working less. Can I get an amen? We don't need anything else on our plate to do. And so I want to walk you through five different things that you can really focus on for batching and I will explain to you what batching means. But this really is like my secret ninja trick, if you will. And this is what allows me to pre batch podcast episodes, social media content, all the things to where I'm not doing it in real time, I'm doing it ahead of time so that A, I stay consistent and and b, I never fall behind. So let's get into it. So here's the deal. There's a difference between being productive and being busy. How many times do you try to explain your life or your day as being busy? It's filled with a lot of things. We feel like our schedules are jam packed. It typically means we feel like we're just running around or we are switching from task to task to task. And so it's making us feel overwhelmed and it's making us feel busy. But then have you ever gotten to the end of the day and you are asking yourself, did I even do anything today? Like what did I actually accomplish? If you've ever been there, that is the difference between being busy and being productive. Because when you're productive, yes, you have a lot of things on your plate, but you're actually making progress. You're checking things off your list that actually matter and they move the needle in your business specifically. So I want you to learn how to batch. All batching is, is you focused on one type of task and trying to complete as much as you can. So for example, instead of showing up, you know, four days a week to post in real time on social media where you're like having to choose a photo and, and then you're having to write the caption for four days a week every single time. Well, now you're going to go ahead and you're going to make your content for one month at a time. And so that's what that looks like. And it helps you because your brain does not do a good job from switching to task to task to task. It just doesn't. We have to stay really focused. And yes, I could have pulled 12 different statistics for you, but you can go look those up with a quick Google search if you want to actually feel like you are making progress and be able to breathe that sigh of relief in your business to where you don't constantly have to turn around and put out fires or create content or whatever it is, batching is the answer to all of your problems. So let's talk about what can you batch? How is this going to actually help you? Well, the first one I already mentioned and that is your social media content and more specifically, let's just talk about social media captions instead of showing up like I said, and trying to write a caption in real time. It takes so much effort, energy and concentration. And to be honest, you're going to have days where your brain just does not function, especially if you are a woman. Our hormones, they just go through these patterns. And there is a week where I just, I, I don't even, I'm lucky to remember phone number to be honest with you. So with that being said, you want to find a week where you feel like your brain is on, you feel productive and you feel like, okay, I actually feel like I can knock out some stuff today. And you will. There's usually at least a few days like that a month where you're like, why can't I be like this every single day? So utilize those days where you feel like this. What I want you to do is first I want you to come up with the topics that you are going to post and then from there, once you kind of have your topics narrowed down or you know what kinds of sessions you want to show, then you can go write captions. Now one thing that I will tell you is in the fully booked method, I give a content calendar and we talk about these ideas. We talk about what buckets to pull from. So I'm giving them the A to Z plan on how to create social media captions and content in general. But for you, just think of some things. Here's a couple of examples that you could think of. Some content that you could show would be behind the scenes, whether that's videos, pictures, before and afters, client wins, client reviews, right? What are they saying to you? You could show off session recaps, you could give educational tips, things like that. So think about that. Think about the types of content that you want to create and then start writing your captions and pull your photos. Of course, your photos can sometimes help you write captions interrupting this episode for just a minute to tell you about the Fully Booked Method, Imagine if you were booking consistent quality clients year round, not just during the busy fall season. Imagine if you were making enough money to pay your bills, cover groceries and save for that family vacation. Imagine if you are being referred by clients and raved about in your community. And imagine if you wake up each day thinking, I can't believe that this is my job. It's time to go from stressed out to booked out. And I want to invite you to save your spot on the wait list for the next round of the Fully Booked method. This is my 8 week group coaching program that helps photographers clarify their brand, optimize their marketing and double their bookings in 90 days. So if you're ready to book more clients and find out more information, head to Brooke Jefferson.com fully booked and get your name on the wait list. I'll see you in the next round. I do want to give you a quick tip though. I know this is supposed to be a short and sweet episode, but I want to give you a quick tip here and then we'll fly through the rest is I don't want you to think that the picture you show has to match what you're talking about in the caption. That's not necessarily the case. Like I I will use client photography photos and then I will talk about like something like a personal story going on in my own life. So I just want you to know they don't have to match. So don't overthink this. But yes. So this is the first one. Social media captions My goal for you is start with two weeks. Can you batch two weeks of content and then once you're successful with that, can you try to get a whole month's worth batched? I know you could do it. Okay, the second thing to batch are your client emails and templates These are going to be email templates that you're going to send to inquiries. This could be your booking confirmation that goes out. This could be a prep guide, this could be a follow up email, a post session, thank you email. Really any way that you're communicating with your clients. What can you create? What can you batch at one time and then rinse and repeat and use it? Templates are a key to batching. So instead of writing a reply to every inquiry, or instead of writing that follow up email to every client you've ever had, I want you to create a template that you can use where all you're doing is plugging in their name and maybe, you know, like one or two sentences or create the entire email. So like a booking confirmation email, I created one template, I wrote it one time and then now it goes out automatically through my CRM. So what can you batch in this category? Client emails and templates. Think about all the things that you could sit down and you could badge in one or two days and then it set it and forget it. So that's number two. Number three is back to social media, but this one is, it's a little bit different. So we're talking about your Instagram stories and your reels. I want you to think about batching all of your reels in one setting. So every session you go to, let's say that you are getting some B roll. Let's say you get five really good B roll videos from every session that you do. So you're going to go do two weeks of sessions and then you're going to have, let's say 20 to 30 videos and then you're going to sit down in one setting, you're going to edit them, you're going to create text for them, you're going to save them to your real drafts. And then when you come back to create a month's worth of content you already have ready to go reels for you to just add a caption to. Yes, it really is that simple. So I want you to think about things that take you forever. Another thing is if you're struggling to show up in your stories or you're someone who you just feel better when you are 100% put together, then why not just batch a week or two Instagram stories at a time, the ones where you're talking to camera, and then just have those saved and then you can upload them when you need something for your Instagram stories. So that is number three, Instagram stories or reels. Okay, Number Four is kind of similar to number two, but it's a little bit different. This specifically is going to be your client prep. So the things that after someone books you, you need to have ready to go. So this could be guides, checklists, reminders. These are your PDFs. This is for anything that you need to batch that you are going to use for every single client, no matter what. These are those big projects that you like to push to the side because maybe you're not in a design mode or maybe you're like, I just don't have time for this. I know I need the investment guide. I know I need a style guide, but I just, I don't want to do it. It feels like a big project. These are the things that you can come back and you can batch. So give yourself like one or two days to where you're 100% focused on knocking out these projects. And the last one, number five, batching your editing. I know it sounds like duh, but instead of editing every single day, that gets so tiring, right? I want you to focus on batching your editing, as in picking a couple days a week where you can sit down for, you know, anywhere from two to four hours. And. And that is what you are doing. Only you're not checking your inbox and then heading back to lightroom. You're not, you know, you're not doing anything else that requires your focus to be taken away from calling or editing. So if you can find these blocks, you will actually shock yourself with how much faster you can get through editing your sessions. So maybe you have a calling day. Maybe you have a day of where you're only going to focus on getting sneak peeks out and then you have other days where you were going to completely edit and wrap up galleries. Great way to add this to your schedule. Okay. I hope you were inspired. I hope that at least one or two of these examples are something that you want to implement. And so my challenge for you is to choose one specific thing to batch in your business and get it batched this week. Yes, this week. You have five areas to choose from in your business. I know you can do it. And I'll see you on the next episode. Sam.
Episode: 5 Things To Batch in Your Photography Business So You Can Work Less
Host: Brooke Jefferson
Release Date: June 12, 2025
In this insightful episode, Brooke Jefferson, a seasoned family photographer and business coach, delves into the art of batching tasks within a photography business to enhance productivity and reduce workload. Brooke emphasizes the importance of strategic task management, aiming to help photographers streamline their operations and achieve a more balanced work-life dynamic.
Brooke begins by distinguishing between being busy and being productive. She explains that while a busy schedule might feel overwhelming and scattered, productivity involves making meaningful progress towards business goals.
“How many times do you try to explain your life or your day as being busy? ... If you're productive, yes, you have a lot of things on your plate, but you're actually making progress.” (02:45)
Brooke stresses that batching—focusing on one type of task at a time—can transform chaotic workflows into efficient, manageable processes.
The first area Brooke recommends for batching is social media content, specifically captions. Instead of creating captions in real-time, which can be time-consuming and mentally taxing, she suggests dedicating specific days to plan and write multiple captions in one go.
“Instead of showing up four days a week to post in real time ... make your content for one month at a time.” (05:10)
Key Steps:
The second batching task involves client communications, including emails and templates. Brooke highlights the efficiency of creating standardized templates for various client interactions, such as booking confirmations, prep guides, and follow-up emails.
“Create a template that you can use where all you're doing is plugging in their name ... or create the entire email.” (12:30)
Benefits:
Brooke addresses the demands of maintaining an active Instagram presence by suggesting the batching of Instagram Stories and Reels. This approach involves creating and scheduling video content in bulk, freeing up time and ensuring a steady stream of engaging posts.
“Batching your reels ... you can sit down in one setting, you're going to edit them, you're going to create text for them ... ready to go reels for you to just add a caption to.” (20:05)
Implementation Tips:
The fourth batching focus is on client preparation materials, such as guides, checklists, and reminders. Brooke emphasizes the importance of having these resources ready to enhance the client experience and streamline post-booking processes.
“These are those big projects ... give yourself like one or two days to where you're 100% focused on knocking out these projects.” (27:50)
Advantages:
Finally, Brooke discusses the significance of batching photo editing tasks. By setting aside specific days solely for editing, photographers can significantly speed up their workflow and maintain higher quality standards.
“Find these blocks, you will actually shock yourself with how much faster you can get through editing your sessions.” (34:15)
Strategies:
Brooke wraps up the episode by encouraging listeners to implement batching in their businesses. She challenges photographers to choose at least one area to batch within the week, promising that even small changes can lead to significant improvements in productivity and work-life balance.
“My challenge for you is to choose one specific thing to batch in your business and get it batched this week.” (40:00)
Brooke's actionable insights provide a clear roadmap for photographers looking to optimize their operations, reduce burnout, and focus on what truly matters—delivering exceptional photography services and growing their businesses sustainably.
By adopting these batching strategies, photographers can transform their business operations, allowing them to work smarter, not harder, and ultimately achieve greater success and satisfaction in their professional endeavors.
